Under general supervision, performs advanced clerical and administrative office support related activities or complex quality control work.  Work is performed with considerable latitude for use of initiative and independent judgment and involves some confidential and sensitive correspondence and communications.


  • Answers the telephone, evaluates requests, answers questions and/or routes messages and screens visitors
  • Edits correspondence/production work for proper format, spelling, grammar, punctuation, typographical errors, syntax, style and sentence structure, content and clarity
  • Composes routing reports
  • Researches and compiles information for reports or inquiries which require an understanding of technical matters
  • Maintains and updates office files/records/logs and suspense systems and a wide variety of automated systems in support of personnel, finance, budgeting, inventory, contracting, purchasing, and information
  • Receives, sorts, opens, evaluates content and distributes mail
  • Prepares, assembles, reviews, and verifies various documents and/or forms
  • Schedules meetings, appointments and makes travel arrangements
  • Enters and retrieves data on a personal computer
  • Act as receptionist
  • Assist in the development and preparation of special reports
  • Use database and/or spreadsheet software applications to prepare reports
  • Run printouts and verify forms against computer printouts
  • Coordinates activities, tracks program/tasks
  • Contact Direct Report for priorities, deadlines and special work assignments
  • Carry out assigned duties in accordance with established procedures meeting directed priorities and deadlines
  • Update Direct Report on progress and delays on every task or assignment
  • Meet established project deadlines
  • Submittal of accurate, legible, comprehensive and complete work
  • Safe usage and maintenance of company vehicle including use within company policy
  • Understand, adhere and participate in the Raba Kistner Health and Safety and Behavior Based Safety Programs and set a good safety example
  • Other duties as Assigned by Direct Report


  • Graduation from high school or GED certification.  A person in this position generally, but not necessarily has a minimum of 5 years clerical, secretarial, administrative support experience. Related experience and/or education may be evaluated to substitute for on the job experience
  • Shall possess a valid driver’s license within the applicable jurisdiction and meet firm’s auto insurability requirements

  • Document formatting
  • Grammar, punctuation and spelling
  • Personal computers and software applications
  • Spreadsheet applications
  • Word processing applications
  • Database management applications

Considerable knowledge of:

  • Records maintenance procedures

Ability to:

  • Communicate effectively orally and in writing to communicate problems, status of work, daily reports, etc.
  • Lift 20 lbs.
  • Move 30 lbs.
  • Read and understand instructions, labels, reports, etc.
  • Prepare and maintain records, files, and reports
  • Maintain effective working relationships with internal and external personnel
  • Follow verbal and written instructions
  • Exercise initiative and independent judgment
  • Ability to drive company vehicle, manage and complete all assigned jobs, efficiently and on time

Must pass a drug test prior to employment and will be subject to post-accident, random, and reasonable cause testing during employment.
